Information we collect

When you contact us, we receive the information you provide, such as your name, email address, telephone number, organisation, property address or postcode, service requirements and correspondence. If someone contacts us on your behalf, we may receive relevant contact and property details from them. Please provide only information needed for your enquiry and avoid including sensitive personal information.

Our website and hosting providers may process technical information, including IP addresses and request logs, to deliver the website, investigate faults and protect it from misuse.

How and why we use your information

We do not use enquiry details for outbound marketing, sell personal information, or use it for automated decisions that have legal or similarly significant effects. If you do not provide the contact and property information needed for an enquiry, we may be unable to respond or prepare a suitable quote.

Our enquiry form and external services

Our enquiry form sends the details you enter to Web3Forms, our form-processing provider, so your enquiry can be delivered to our email inbox. Web3Forms processes submission data and technical information for delivery and spam prevention. Its service providers may also process your IP address and email address for spam checks. See the Web3Forms privacy policy. If you email us directly, your email provider handles the message under its own terms. If you choose WhatsApp, your interaction is also subject to WhatsApp’s privacy information. We use the details you send to handle your enquiry.

Who may receive your information

Information may be handled by people working for us and service providers supporting our website hosting, IT and email. We may share relevant information with professional advisers, insurers or authorities where needed for advice, legal obligations or claims. We limit sharing to what is necessary. Google receives analytics information only when analytics is enabled and you have accepted it; we do not send your enquiry form contents to Google Analytics.

International processing

Web3Forms operates from India and uses infrastructure in multiple regions. Its data processing agreement describes its international transfer safeguards. Other technology providers may also process information outside the UK. Where this involves a restricted transfer of information we control, we must use an appropriate UK safeguard, such as an applicable adequacy regulation or approved contractual protection. Contact us for information about the providers and safeguards relevant to your information. External services you choose to use, such as WhatsApp and your email provider, explain their own international processing in their privacy notices.

How long we keep information

We keep enquiry information for as long as reasonably needed to respond and complete any follow-up. If you become a customer, relevant information forms part of our service records. Retention depends on whether the enquiry remains active, the work undertaken, applicable accounting and legal requirements, insurance requirements and the period in which a complaint or claim may arise. We delete or anonymise information when it is no longer needed. Contact us for the retention criteria applicable to your records.

Web3Forms states that submission data is retained for up to three years, unless a shorter plan-specific period applies or it is deleted earlier. Our own enquiry and email records follow the criteria above.

Analytics cookies are configured to expire after 180 days. Google retains analytics data according to the retention settings in our Analytics property; these are separate from cookie expiry. Retention is determined by the reporting period needed to understand and improve website usage, and aggregate reports may be kept longer than individual event records. Your rights

Depending on the circumstances, you may ask to access or correct your information, have it deleted, restrict its use, or receive a portable copy. These rights are not absolute.

You have the right to object to processing based on our legitimate interests, on grounds relating to your particular situation. Contact us using the details above.

Where we rely on consent, you can withdraw it at any time. Use Cookie settings in the footer to change your analytics choice. Withdrawal does not affect processing that was lawful before withdrawal.
